Team management guide: locations, users and roles

How accounts, locations and roles fit together, and setups for shops, branches, franchises and agencies.

5 min read

An account is one business. It can run several locations, and the people who help you can be given exactly the access they need. This guide explains how it fits together and how to set it up for a single shop, a group of branches, or a franchise.

How it fits together

PartWhat it is
AccountYour business. It has one plan and one Admin owner.
LocationOne place the business runs. Each has its own funnels, QR cards, coupons and Google listing.
UserA person who signs in. One login can belong to several accounts, with a different role in each.

The Admin owner is the person who created the account. That role does not change.

Add a location

The Admin owner and Admins add locations from the location switcher (New location) or Settings → Locations. A new location can copy funnels from your other locations: their settings, look and questions. Review links are not copied, because a review link belongs to one place; add each copy's own links afterwards.

How many locations your plan includes:

  • Business: 1. To add a second, the Admin owner moves the account to Business Mogul in Plan and billing.
  • Business Mogul: 5 included, then $30 a month for each extra location. Only the Admin owner can agree to the extra charge; the dialog states it first.

Add a person

  1. Open Users (above Settings in the rail) and press Add user.
  2. Enter their email address and, if you like, their name.
  3. Choose Admin or User. For a User, tick the locations they work at.
  4. If they have never signed in to RepRocket, choose a starting password and pass it on to them. They can change it in Settings → Profile.
  5. Save.

No invitation email is sent. A person who already has a login keeps their password and sees your account the next time they sign in.

To change someone's role or locations, open them in Users. To remove them, remove them from the account; this takes away their access to this account only.

Setups that work

One shop. One location. Add staff who answer low ratings as Users, and a manager as Admin.

A group of branches. One location per branch. A User for each branch manager, given their own branch. The owner and a head-office Admin see All locations and compare branches on the Overview.

A franchise. The franchisor's account on Business Mogul holds every franchise location. Each franchisee is a User given their own locations. A franchisee who also runs a separate business can keep their own account; both appear in their location switcher, grouped by account.

An agency. Each client business is a location in the agency's account, and each client's staff are Users given that location. The agency's plan covers them all. Use White label to put your brand on the dashboard. (This replaces the old "sub accounts", which became locations.)

Alerts follow the team

When a funnel has no alert recipients set, low-rating alerts go to the Admin owner, the Users who work at that location, and the Admins. To send them elsewhere, set the recipients in Recovery → Alerts.
