Tutorial: export ratings to a spreadsheet or CRM
Export ratings as CSV, import them into a spreadsheet or CRM, and keep them up to date.

RepRocket has no public API, no webhooks and no direct CRM connection. You can still bring your ratings into another tool: export them as a CSV file and import that file. This tutorial shows how, and how to keep it up to date.
Step 1: Export the ratings
- Open Ratings in the rail.
- Choose the location in the location switcher, or All locations.
- Choose the period (7, 30 or 90 days) and, if you like, one funnel, a star rating or a search.
- Press Export CSV.
The file has one row per rating, with these columns:
| Column | Holds |
|---|---|
| Date | When the rating was left, in your time zone (for example 2026-10-13 15:04) |
| Customer | The name the customer gave, if any |
| The email address the customer gave, if any | |
| Phone | The phone number the customer gave, if any |
| Funnel | The funnel it came from |
| Rating | 1 to 5 |
| Comment | What the customer wrote |
| Recovery status | For a low rating, where it is in the recovery inbox |
Step 2: Open it in a spreadsheet
The file opens in Excel, Numbers and Google Sheets. In Google Sheets, use File → Import and upload the file. If letters with accents look wrong, import it as UTF-8.
A comment that begins with =, +, - or @ has an apostrophe added in front, so the spreadsheet does not treat it as a formula.
Step 3: Import it into a CRM
Most CRMs import contacts or activities from CSV. Map the columns:
- Email and Phone to the contact's email and phone, to match existing contacts.
- Customer to the contact's name.
- Rating, Comment, Funnel and Date to a note, an activity, or custom fields.
Import only customers who left contact details, and use them only as the customer agreed. A customer who said yes to "May we contact you?" agreed to be contacted about their visit, not to marketing.
Step 4: Keep it up to date
Choose a regular day, such as Monday morning, and export 7D. Import only the new rows. The Date column lets you sort out anything you already have.
Export figures, not people
For reports that need no customer details, use Export CSV on Analytics. It saves the period day by day: ratings by sentiment, the daily average and the seven-day average.
Look after the file
A ratings export holds customers' names, contact details and comments. Keep it where only your team can open it, and delete it when you have imported it.
